Front Office Assistant
Location: Central Tucson
Terms: Temporary (1 week)
Salary/rate: $18.00-$20.00 an hour
Job Description:
Provide support to the Administration Department by acting as first point of contact for visitors and callers. Provide additional business support by handling other administrative tasks as required.
Duties & Responsibilities:
- Responsible for answering multiline switchboard/telephone, determining purpose of calls, and forwarding calls to appropriate personnel or department.
- Retrieves messages from voice mail and forwards to appropriate personnel
- Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel
- Responsible for maintaining fax machines, assists users, sends faxes, and retrieves and routes incoming faxes
- Responsible for receiving and sorting mail and deliveries
- Prepares shipping materials and arranges for shipments to be picked up by appropriate shipping companies
- Responsible for ordering, receiving, maintaining and delivering of office supplies.
- Responsible for maintaining a safe and clean reception area
- Provide general administrative and clerical support as assigned
- Responsible for updating appointment calendars on SharePoint
- Responsible for providing support to Office Administrator to include organizing events. Contacting vendors, light building maintenance and organizing lunches etc.
- Maintain procedures up to date
- Responsible for the execution of internal safety procedures
- Clerical support to other departments as needed
- Excellent telephone skills and verbal communication
- Microsoft Office skills
- Must be customer focused
- Manages all interna l and external customer interactions in a professional manner
- Must have the ability to manage conflicting priorities
- Knowledge of customer service principles and practices
- Must have the ability to work in a fast pace environment, while dealing with diverse cultures
- Bilingual in Spanish/English with speaking and writing abilities a plus
- Minimum of a High School diploma
- Minimum of one year related e x perience
- Proficient, intermediate experience in Microsoft Outlook, Word, Excel and Access o r a database equivalent
- Microsoft SharePoint knowledge a plus
- Knowledge of CRM (Client Relation Management) software helpful
