Job Summary:
The Payroll Specialist will ensure accurate and timely processing of payroll, tax registrations, and compliance reporting. This role demands strong attention to detail, organizational skills, and proficiency in payroll systems. Experience with Paycor is a plus. The Payroll Specialist will collaborate with HR, Accounting, and external agencies to manage payroll functions, audits, employee verifications, and regulatory compliance.

Key Responsibilities:
Payroll Processing & Administration:

  • Administer multi-state, weekly and bi-weekly payroll.
  • Process payroll, updating and maintaining payroll schedules in the Paycor Payroll Dashboard.
  • Oversee holiday schedules and time-off policies, ensuring compliance with company policy and legal requirements.
  • Ensure timely release of W-2 forms, 1095-C administration, and year-end payroll reviews.
Compliance & Reporting:
  • Conduct and submit yearly filings (e.g., 5500, PCORI) and process monthly/yearly fees.
  • Manage state, local, and SUI tax registrations, including DOL and JFS reporting.
  • Ensure compliance with EEOC and ACA reporting requirements.
Audits & Financial Reporting:
  • Generate weekly accounting reports.
  • Participate in ADP, 401(k), and Workers' Compensation audits.
  • Ensure compliance with support orders, garnishments, and Boot Program.
Employment Verifications & Record Maintenance:
  • Handle employment verifications and wage requests.
  • Maintain accurate employee records, including hire and termination details.

Education & Experience:
  • Education: Bachelor's degree in Accounting, Finance, Human Resources, or a related field.
  • Experience: 3 years in payroll processing and administration.
  • Mathematical Skills: Strong knowledge of payroll regulations and tax filings. Proficiency in basic math and the ability to interpret data.
  • Reasoning Ability: Capable of applying common sense to follow instructions and solve problems in standardized situations.
