Position Title: Surgery Scheduler

Location: Austin, TX 78758 (Onsite)

Schedule: Monday - Friday, 8:00 AM - 5:00 PM

Number of Positions: 1


Job Summary

We are seeking a Surgery Scheduler to join our practice. This role provides clerical expertise to ensure patients receive high-quality, efficient care. Key Responsibilities

  • Surgical Coordination:
    • Obtain CPT and ICD-10 diagnosis codes and other clinical information for treatment.
    • Prepare documentation for Notification of Non-Covered Medicare Services or Advance Beneficiary Notices when required.
    • Determine O.R. time needed and coordinate with facilities to schedule procedures efficiently.
    • Arrange necessary anesthesia coverage as needed.
    • Ensure all required medical records, imaging, and equipment are confirmed for procedures.
  • Insurance & Authorization:
    • Obtain patient face sheets from Insurance Verification to secure necessary authorizations.
    • Retrieve and upload authorization notes from facilities into the medical record system.
  • Documentation & Compliance:
    • Ensure scheduling packets are complete and accurate.
    • Maintain accurate records per facility policies and ensure compliance with documentation requirements.

Qualifications & Experience

  • Education:
    • High school diploma preferred.
  • Experience:
    • Minimum 1 year of experience in a medical office setting (ambulatory surgery center, hospital, or doctor's office preferred).
    • Previous Surgery Scheduling experience required.
    • Familiarity with CPT coding/billing, insurance verification, and prior authorizations is highly preferred.

Health Requirements

Candidates must provide proof of the following:

Two doses each of MMR (Measles, Mumps, Rubella) and Varicella
One adult dose of Tdap (Tetanus, Diphtheria, Pertussis)
Hepatitis B vaccination
Seasonal Influenza vaccination
COVID-19 vaccinations (or signed declination form)
Tuberculosis screening within the last 90 days


Desired Skills & Traits

Attention to detail, time management, and multitasking skills
General understanding of CPT coding and billing
Experience with insurance verification & prior authorizations
Surgery scheduling experience preferred
