Lead Administrative Assistant

THE POSITION
We are seeking a highly skilled and experienced Lead Administrative Assistant to join our team. You will support the VP Litigation and VP Labor and Employment in Charlotte, NC. This role involves planning travel, coordinating busy calendars, organizing complex meetings, and managing confidential information. You will interact daily with internal employees, external customers, and investors. The ideal candidate will prioritize effectively and operate with urgency and resourcefulness.

RESPONSIBILITIES
• Manage calendars and prioritize time with professionalism and discretion.
• Collaborate with other C-Suite administrators.
• Arrange detailed travel plans for domestic and global travel.
• Organize onsite meetings and greet visitors.
• Handle key administrative business processes.
• Generate reports and handle multiple projects.
• Prepare and monitor invoices and expense reports.
• Manage complex expense and purchasing reports.
• Arrange conference calls and global meetings.
• Handle office management tasks, including mail and supplies.

REQUIRED EXPERIENCE & QUALIFICATIONS
• High school diploma or equivalent.
• At least 5 years of experience providing administrative support to C-suite executives.
• Proven ability to function with a high sense of urgency and resourcefulness.
• Strong prioritization skills to effectively manage competing priorities.
• Experience in managing confidential and sensitive information.
• Excellent judgment and the ability to plan and accomplish goals.
• Creativity and initiative in performing a variety of complicated tasks.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Effective verbal and written communication skills.
• Strong organizational and time management skills.
• Ability to work independently and as part of a team.
• Attention to detail and problem-solving skills.
