Legal Executive Assistant

Job Summary:
The Legal Executive Assistant plays a critical role in supporting attorneys by managing administrative tasks and facilitating legal processes. This position involves handling communication, preparing and proofreading legal documents, managing court filings, and providing general administrative support to ensure the smooth operation of legal proceedings and office functions.

Salary: $70K-$80K

Key Responsibilities:

  • Answer, screen, and direct phone calls for assigned attorneys, providing coverage for other attorneys as needed.
  • Prepare, proofread, edit, and finalize a variety of legal documents, including:
    • Answers
    • Motions
    • Pleadings
    • Discovery demands and responses
    • Closing documents and memos
    • Reports and correspondence with outside counsel, clients, and experts
  • Maintain a comprehensive log to track attorneys’ work, pending documents, and critical deadlines.
  • Prepare and process invoices and billing memos.
  • Draft and distribute correspondence, including delivering transcripts to clients and counsel.
  • Assist attorneys with document handling tasks such as scanning, copying, and printing.
  • Set up and troubleshoot devices for virtual meetings and court proceedings.
  • Provide NYSCEF consent for attorneys and e-file legal documents, including answers and motions.

Qualifications:

  • Proven experience as a Legal Executive Assistant, Legal Secretary, or in a similar legal support role.
  • Strong understanding of legal terminology, document preparation, and court filing procedures.
  • Proficiency in Microsoft Office Suite and legal document management systems.
  • Excellent proofreading and editing skills with a sharp attention to detail.
  • Outstanding organizational and time-management abilities, with the capacity to manage multiple priorities and meet deadlines.
  • Ability to handle sensitive and confidential information with professionalism and discretion.
  • Strong written and verbal communication skills.
  • Familiarity with NYSCEF e-filing procedures is preferred.

Work Environment:

  • Primarily office-based with occasional remote support as required.
  • Fast-paced environment requiring adaptability, multitasking, and prioritization of competing deadlines.
