Title: Administrative Support Specialist
Location: Henrietta, NY
Shift: Monday - Friday, 8:00 AM - 4:30 PM
Pay: $18 - $20 per hour

As an Administrative Support Specialist, you'll be responsible for processing and monitoring orders, handling various customer requests via email, and ensuring smooth communication between departments. Duties and Responsibilities:
- Manages all sales contacts via phone/email, including but not limited to, orders, quotations, expediting, and inquiries.
- Provides direct support between the customer and the production team.
- Interacts with account managers, logistics, and quality teams for production needs.
- Works with the production planning and procurement teams for expediting orders.
- Uses company formulas to determine and quote pricing to customers.
- Navigates the ERP system for order processing, product quotes, part loading, and more.
- Reviews and coordinates implementation of changes and updates to sales orders.
- Investigates and responds to customer questions arising from receipt of products such as short shipments, damaged goods, and/or paperwork inconsistencies in a professional and timely manner.
- Updates and maintains customer information portals.
- Prints forms and assembles sales order packets.
- Ensures compliance with company sales & marketing and export/import compliance policies.
- Responsible for sales analysis reports, outstanding customer order listings, and other customer-related reports.
- Other duties as assigned.
Qualifications:
- Ability to work well in a team and independently.
- Communicate via email (no phone calls).
- Comfortable working on a computer and learning new systems.
- Ability to read and interpret safety and procedural documents.
- Ability to write routine reports and correspondence.
- Basic math skills (addition, subtraction, multiplication, division, and percentages).
- Ability to follow detailed instructions and handle standardized problems.
- Proficient in Microsoft Word, Excel, Outlook, and internet software.
- High school diploma or GED; 1-2 years of related experience or training.
- Ability to manage a high volume of emails and maintain organization.
- Capable of sitting, standing, walking, and lifting up to 20 pounds.
- Moderate noise level in the work environment.
