JOB DESCRIPTION

Position Title: Office Administration Assistant
Department: Quality
Schedule: Monday through Friday, 8:00 AM - 4:00 PM or 9:00 AM - 5:00 PM.
Pay rate:$25.00


SUMMARY

The Office Administration Assistant is responsible for answering phones, greeting customers, and coordinating hospitality for clients and executive functions. This role involves scanning and electronically filing sales orders, packing slips, and other sales-related documents. The assistant will also act as a backup for proofreading, coordinate marketing supplies, and generate reports for sales representatives based on commissionable sales in their respective territories. Additional responsibilities include performing various administrative duties, managing office and marketing supplies, and supporting the sales and trade show functions.


MINIMUM QUALIFICATIONS

EDUCATION:

  • Associate's Degree or equivalent work experience.

EXPERIENCE:

  • 1-3 years of related work experience in an office environment.

KNOWLEDGE:

  • Proficient in office systems and operations (filing, word processing, email, faxing, scanning).

SKILLS:

  • Proficient in MS Office Suite, including Excel, Outlook, Word, and Visio, or MS 365.

  • Minimum keystroke speed: 45 WPM.

  • Strong verbal and written communication skills.

  • Excellent organizational skills and the ability to adapt in a dynamic work environment.


PHYSICAL REQUIREMENTS

The physical demands of this job include standing, walking, sitting, talking, and hearing regularly. Occasional lifting and/or moving up to 25 pounds may be required. The employee must also be able to crouch, stoop, or reach occasionally. Specific vision abilities required by this role include close vision, color vision, depth perception, and the ability to adjust focus. The noise level in the work environment is usually moderate. Reasonable accommodations may be made for individuals with disabilities to perform the essential functions of this job.


SPECIFIC POSITION DUTIES

  • Provide backup for data proofreading tasks.

  • Assist in administrative and office support duties as necessary.

  • Perform general clerical duties, including filing, photocopying, scanning, and other tasks as required.

  • Demonstrate professionalism and discretion when handling confidential and sensitive information.

  • Complete other related projects as assigned by the Director.

  • Ensure high attention to detail when copying, proofreading, and transcribing policies and procedures.

  • Follow directions well, maintain high levels of organization, and prioritize tasks effectively.
