Job Title: Legal Billing & Invoicing Coordinator - Hybrid
Job Summary:
A busy law firm is seeking a highly organized and detail-oriented Legal Billing & Invoicing Coordinator to support our legal operations team. This role focuses on processing third-party invoices, maintaining accurate records, and assisting the billing department to ensure efficient and timely reimbursements. The ideal candidate will have prior experience in a legal or professional services environment and a strong understanding of billing procedures.
Key Responsibilities:

Review, verify, and process third-party invoices, including those for expert witnesses, depositions, mediations, and investigations

Submit approved invoices to the appropriate internal or external parties for payment

Audit monthly statements to ensure all services have been billed and processed correctly

Process, post, and digitally image all Record Access documentation

Maintain detailed records of invoices submitted to MCIC (LSS Expenses)

Verify and organize receipts for reimbursement requests through Resolve Star

Upload expert budgets to Resolve Star as needed

Provide administrative support to the billing department, including scanning and document verification

Review and verify billing reports for accuracy and completeness

Assist with electronic invoicing and ensure timely submission of bills

Sort and distribute interoffice mail related to billing and legal documentation

Maintain up-to-date vendor records and ensure accuracy for payment processing

Respond to inquiries from attorneys, staff, vendors, and experts in a professional and timely manner
Qualifications:

Prior experience in a law firm or legal billing environment preferred

Familiarity with billing software (Resolve Star or similar platforms is a plus)

Strong attention to detail and excellent organizational skills

Ability to manage multiple priorities and meet deadlines

Strong communication skills, both written and verbal

Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Work Environment:
This is an in-office position in a professional legal environment. Candidates must be comfortable working both independently and collaboratively as part of a team.
